Void Video (“we,” “us,” or “our”) operates voidvideo.com from Arizona, United States. This Privacy Policy explains how we collect, use, and disclose personal information through our website, beta application process, and related account, download, and device-linking services (“Services”). Void Video is responsible for the personal information described in this policy.

This policy covers the Services listed above. It does not cover diagnostic or crash-reporting data collected by the installed Void Video application.

1. Information We Collect

Information you provide. We collect your email address and AVS Forum username when you apply for beta access. When you create an account, we collect your username, email address, and authentication information. We also receive information you choose to provide when contacting us for support or making a privacy request.

Account and service records. We maintain application status, review notes, invitations, account identifiers, access permissions, verification and password-reset records, and associations between accounts and linked devices. Account passwords are stored as hashes, rather than readable passwords.

Technical information. Our hosting and security providers may process your IP address, browser information, requested pages, and request timestamps when you access the Services. We also use cookies and browser storage as described below.

We collect information directly from you, through your use of the Services, and through our administration of your application or account. You can browse public pages without an account. An email address and AVS Forum username are required to submit a beta application; an account is required for restricted downloads and device linking.

2. How We Use Information

We use personal information to:

• Review beta applications, identify applicants' forum accounts, and manage invitations.
• Create and administer accounts, authenticate users, and provide downloads and device licensing.
• Send application receipts, invitations, password resets, and other service communications.
• Respond to support inquiries and privacy requests.
• Maintain, troubleshoot, and secure the Services, including preventing unauthorized access and abuse.
• Comply with applicable legal obligations and resolve disputes.

Applying for beta access does not subscribe you to an advertising newsletter.

3. Legal Bases for Processing

Where applicable data protection law requires a legal basis, we process personal information as necessary to provide the Services you request or take steps at your request before providing them. We also process information for our legitimate interests in administering the beta program, providing support, and maintaining a secure service, subject to your interests and rights. Where processing is required by law, we rely on that legal obligation.

If we request consent for a particular activity, you may withdraw it without affecting processing carried out before withdrawal. Reading this policy or using the website does not constitute blanket consent to unrelated processing.

4. Disclosure of Information

Personal information is available to authorized people administering Void Video and to providers supporting the Services. Our providers include:

• Cloudflare, for website hosting, content delivery, and network security.
• DigitalOcean, for API and database hosting in San Francisco, United States.
• Resend, for delivery of application, invitation, and account emails.

These providers process information needed to perform their services, such as network requests or email recipient addresses and message content. Their infrastructure and subprocessors may be located in other countries.

We may disclose information when required by applicable law or a valid legal request, or where necessary to investigate fraud, address security incidents, or protect legal rights.

We do not sell personal information or share it for cross-context behavioral advertising.

5. Cookies and Similar Technologies

We use cookies and local browser storage to authenticate users, maintain sign-in status, and retain basic account information. Sign-in cookies may be shared across Void Video subdomains so that the same account works across our Services.

Authentication cookies expire according to the server's session lifetime. Locally stored sign-in and account information remains until you log out, clear browser storage, or the website detects an invalid session. Blocking or deleting this storage may prevent account features from working.

The website does not use advertising cookies or analytics scripts. Fonts are hosted with the website. Our hosting providers may still process technical request information for delivery and security.

We do not change website behavior in response to “Do Not Track” signals. We do not conduct advertising tracking or sell or share information for targeted advertising, regardless of whether a Do Not Track or Global Privacy Control signal is enabled.

6. Data Retention

Beta applications and account records are retained until manually deleted. This includes rejected and unused applications; these records do not currently have a scheduled expiry. Service-provider logs, email-delivery records, and backups may have different retention periods.

You may request deletion or withdrawal of an application by contacting us. We may retain information where required to meet a legal obligation or resolve a dispute and will explain any applicable exception. Copies in backups may remain after deletion from active systems. Deleting an account may end access to downloads and device licensing associated with that account.

7. Data Security

The Services use HTTPS to protect information in transit, password hashing for stored account credentials, and authenticated access controls for restricted account and administrative functions. No method of transmission or storage can guarantee absolute security. Keep your password, verification links, and device activation information confidential.

8. International Data Processing

Void Video operates in the United States, and our API and database are hosted there. Information may also be processed in countries where our service providers operate. Data protection laws in those countries may differ from those in your country of residence.

For information about the locations and safeguards relevant to the processing of your personal information, contact us using the details below. Your applicable data protection rights are not waived by using the Services.

9. Your Privacy Rights

Depending on the law that applies to you, you may have the right to:

• Request access to your personal information or a copy in a portable format.

• Withdraw consent where processing is based on consent.

To appeal a response, contact the same address with the subject “Privacy appeal.” We do not discriminate against you for exercising applicable privacy rights.
